(c) 具備極佳的中英文口語及寫作能力;
(d) 具備良好的溝通技巧,能與不同的非政府機構、社區團體和公眾人士聯繫和合作;
(e) 熟悉微軟Office操作(包括中英文文書處理和Excel);
(f) 於取得學位後,至少有一年有關行政或項目管理的工作經驗;
(g) 具備管理有關工務/工程/建築/文化或藝術項目,及/或合約管理,及/或項目設計和策劃,及/或運作管理方面經驗的申請者獲優先考慮;及
(h) 熟識公共行政/非牟利團體/地區事務,並具備相關經驗,及/或持有會計/法律相關學歷的申請者獲優先考慮。
註: 2007年前的香港中學會考中國語文科和英國語文科(課程乙) C級及E級成績,在行政上會分別被視為等同2007年或之後香港中學會考中國語文科和英國語文科第3級和第2級成績。
職責: 行政助理 (選舉)
(a) 負責一般行政及管理工作,例如:資源管理、系統及檔案管理、項目計劃的籌備、統計資料的蒐集和分析、報告書匯編等;
(b) 負責回答一般市民的查詢;
(c) 負責處理各項公眾申請及相關事宜;及
(d) 為委員會和工作小組服務,包括撰寫和擬備會議紀錄和資料文件;統籌會議所需的輔助安排,以及與區議員和其他有關人士和團體聯絡。

行政助理(區議會)
(a) 協助籌辦、監察和評估社區參與項目和活動;
(b) 就區議會的日常運作提供行政支援;
(c) 為區議會轄下的委員會/工作小組提供行政支援;
(d) 在有需要時執行其他職務。

行政助理(青年計劃)
(a) 協助監察獲核准青年計劃/活動的進度,以及協助籌辦/統籌地區青年活動委員會提出的青年計劃和活動;
(b) 協助審核及處理地區團體(包括學校及非政府機構)舉辦青年計劃及活動的申請;
(c) 協助發放核准撥款予申請成功的地區團體,以及查核所有核准青年計劃及活動的財務報告和單據;
(d) 協助推廣青年計劃及活動;
(e) 為辦公室的日常運作提供行政支援;
(f) 在有需要時執行其他職務。

行政助理(社區重點項目計劃)
為推行地區項目提供行政和執行上的支援,包括:
(a) 協助處理撥款發放申領,聯絡區議會、其他政府部門、非牟利團體及/或商營機構,整理和編制統計報表等;
(b) 監察地區項目的進度,包括審理區議會、其他政府部門、非牟利團體及/或商營機構提交的定期財務報告和進度報告的情況;
(c) 為相關委員會及會議提供秘書和後勤支援服務;
(d) 就處理申請和辦公室行政事宜提供行政支援;
(e) 處理及管理相關文件檔案,包括與地區項目有關的網站資料;
(f) 處理公眾和其他機構的查詢;
(g) 協助項目經理統籌、監督和檢討地區項目,包括準備提交予政府部門、立法會和區議會的文件;
(h) 協助統籌和舉辦與地區項目相關的宣傳和公共關係活動;及
(i) 在有需要時執行其他相關職務。
聘用條款: 應徵者如獲錄用,將會按非公務員合約條款受聘。合約期為2015年9月至2016年3月,續約與否須視乎工作表現及工作需要而定。
福利: 《僱傭條例》規定而又適用的其他福利。
附註: (a) 除另有指明外,申請人於獲聘時必須已成為香港特別行政區永久性居民。

Job Title: Executive Assistant
Salary: $18,615 per month
Entry Requirements: (a) have a bachelor degree from a Hong Kong university, or equivalent; and
(b) met the language proficiency requirement of Level 3 or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or Hong Kong Certificate of Education Examination (HKCEE), or equivalent; and
(c) possess excellent command of spoken and written English and Chinese;
(d) have good communication and interpersonal skills, be able to work in interface with a wide spectrum of non-governmental organisations, community organisations and the public;
(e) have high proficiency in MS Office, including both Chinese and English word processing and Excel;
(f) have at least one year of post-qualification experience in administrative / project management;
(g) preference will be given to candidates with experience in the management of works / engineering / architectural / cultural or arts projects, and/or management of contractors, and/or project design and planning, and/or operational management; and
(h) possess knowledge and experience in public administration / non-profit making organizations (NPOs) / district affairs and/or qualification in accounting / legal studies is an advantage.
Note: Grade C’ and ‘Grade E’ in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 are accepted administratively as comparable to ‘Level 3’ and ‘Level 2’ respectively in Chinese Language and English Language in the 2007 HKCEE and henceforth.
Duties: Executive Assistant (Election)
(a) To perform general administration and management work such as resource management systems and records management, project planning, collection and analysis of statistical information, compilation of reports, etc.;
(b) To handle public enquiry;
(c) To process applications from the public and related matters; and
(d) To serve committees and working groups including drafting and preparation of minutes and briefs, co-ordinating logistics for the smooth running of the meetings, liaising with District Council members and other parties concerned

Executive Assistant (District Council)
(a) To assist in the organization, monitoring and evaluation of community involvement campaigns and projects;
(b) To provide administrative support for the daily operation of District Councils;
(c) To provide administrative support for the Committees/Working Groups under District Councils; and
(d) Other duties as and when required.

Executive Assistant (Youth Programmes)
To provide administrative and executive support in the following –
(a) to assist in monitoring the progress of approved youth programmes and activities and organizing/co-ordinating youth programmes and activities initiated by District Youth Programme Committee;
(b) to assist in vetting and processing applications for youth programmes and activities from district organizations including schools and non-governmental organizations;
(c) to assist in allocating payment of approved funds to successful district organisations and to check financial reports and receipts for all approved youth programmes and activities;
(d) to assist in promoting youth programme and activities;
(e) to provide administrative support for the daily operation of office; and
(f) to perform other duties as and when required.

Executive Assistant (Signature Project Scheme)
To provide administrative and executive support to the implementation of district projects including:
(a) to assist in processing payment claims, liaising with District Council, other government departments, NPOs and / or business organizations, compiling statistics, etc.;
(b) to monitor progress of district projects including vetting regular financial and progress reports from District Council, other government departments, NPOs and / or business organizations;
(c) to provide secretarial and logistical support to committees and meetings;
(d) to provide administrative support to matters in relation to application processing and office administration;
(e) to maintaining and manage the relevant documents including information on the website for the district projects;
(f) to attend to enquiries and queries from the public and other organizations;
(g) to assist the Assistant District Officer in the coordination, overseeing and review of the district project(s), including preparing submissions to the government departments, the Legislative Council and the District Council;
(h) to assist in the coordination and organization of publicity and public relations activities concerning the district projects; and
(i) to undertake any other duties as required.
Terms of Appointment: Candidates will be appointed on non-civil service contract terms from September 2015 to March 2016. Further renewal to be subject to satisfactory performance and operational needs.
Fringe Benefits Employment Ordinance benefits as appropriate.
General Notes: (a) Candidates must be permanent residents of the Hong Kong Special Administrative Region at the time of appointment unless specified otherwise.
